Frequently Asked Questions

Here are some common questions that users may have about the platform:

About the Platform

Where can I follow Z3 Data for the latest company news and updates?

Stay updated with our latest announcements, articles, and insights by following us on LinkedIn. We regularly post company updates, industry insights, and new initiatives.

Does Z3’s platform use AI?

Yes. Z3’s ingestion engine, Zenbi, uses AI to interpret hauler invoices, automate data extraction, and standardize information across inconsistent formats. The AI helps identify key fields, map materials, and streamline repetitive manual tasks—significantly reducing the need for hand-entry and speeding up the entire reporting process.

How can I learn about Z3 Data’s team, mission, and experience in the waste data space?

You can learn more about our team and mission on Z3 Data’s About page. Our founders, Steve Means and Rick Penner, bring decades of experience in recycling, reporting, and sustainability. Our mission is to simplify waste data management so organizations can focus on sustainability goals, not just spreadsheets.

What makes Z3 better than using spreadsheets for waste tracking?

Spreadsheets break under multi-vendor, multi-location complexity.
Z3 replaces manual processes with:

  • Standardized data
  • Automated ingestion
  • Built-in analytics
  • Audit trails
  • Real-time error detection

It removes the manual burden and drastically improves accuracy.

What makes Z3 Data’s ingestion engine unique?

Z3’s ingestion engine Zenbi was built by operators who have managed hauler data for over 20 years.
It’s designed to:

  • Interpret inconsistent data formats
  • Map hundreds of material codes
  • Identify missing or incorrect values
  • Standardize month-to-month reporting
  • Provide a full audit trail

This “bottom-up” design is what makes Z3 incredibly accurate compared to generic automation tools.

What makes Z3 Data different from waste brokers or hauler marketplaces?

Z3 is vendor-agnostic.

The platform does not sell hauling services, negotiate rates, or steer business toward specific vendors.
Instead, it provides unbiased, standardized, accurate data for the client — regardless of who is servicing the property.

Other vendors often manage waste services; Z3 manages the data, which makes it complementary to haulers and consultants, not a replacement.

What problem does Z3 Data actually solve for organizations?

Most companies struggle with inconsistent waste and recycling data because every hauler provides different invoice formats, terminology, and material categories.

Z3 Data solves this by ingesting, standardizing, and validating all waste-related data across every property so organizations finally have accurate, audited, month-to-month insights they can use for reporting, budgeting, and decision-making.

What type of customer support do you offer?

Z3 offers customized support levels determined by the service level and plan each customer selects.

Z3’s team can always be reached during business hours at [email protected].  You will receive a prompt response in accordance with your defined SLA.

In addition to the personalized support, Z3 provides each client with access to a detailed user guide and tutorial videos.

What technology does Z3 utilize?

Z3 is a cloud-based service utilizing the services of GCP (Google Cloud Platform). For a more detailed description and list of Z3’s tech stack connect with us directly at [email protected].

Does the service eliminate the need for my team to manually transfer (or enter) hauler invoice data?

Yes, Z3 Data eliminates the need for manual data entry or transfer. Zenbi automates the ingestion of invoice data and the Z3 team may work directly with your hauler to collect and ingest non-invoice data.

Does the Platform use AI?

We do not consider ourselves an AI platform, but we do use technologies that are often classified as AI.  For example, Zenbi (or invoice ingestion tool) utilizes Google’s OCR tool, Document AI, to process and ingest waste & recycling data.  We may also use AI tools to evaluate waste data, but only with the approval of the client.

How can I get involved or learn more about the company?

Send an email to [email protected] to set up a discussion and learn more.

How does the platform help businesses with sustainability?

The platform helps gather unstructured waste and recycling data, organize the data, and provide detailed reports and actionable insights. The reporting can be exported or transferred to existing sustainability systems. The Insights, including GHG emissions calculations, help organizations identify opportunities to reduce environmental impacts and optimize sustainability efforts.

What industries does your platform serve?

The Z3 Platform is industry-agnostic.  We provide services to organizations in a variety of sectors, including the hotel, brewery, manufacturing, distribution, and education sectors.

Campuses

How can Z3 help report data for STARS or other campus certifications?

Data Ingestion & Integrations

How does Z3 Data collect and standardize hauler information?

Z3 Data receives hauler information through:

  • Monthly invoices
  • CSV or Excel files
  • API connections (when available)
  • PDF uploads
  • Data shared directly by the haulers through a Letter of Authorization

The system then automatically standardizes the data into a unified structure regardless of vendor or geography — turning dozens of formats into one consistent reporting model.

How does Z3 handle missing or incorrect hauler data?

When vendor data is incomplete, Z3 flags anomalies, corrects errors when possible, and logs the issue in the audit trail. This ensures reporting remains consistent and transparent across months.

How does Z3 ensure data accuracy?

Z3 uses a blend of:

  • Automated ingestion
  • Material mapping logic
  • Historical pattern recognition
  • Human review (where needed)
  • Invoice line-item validation
  • Reconciliation against vendor-provided data

The result is a high-confidence, audit-ready dataset every month.

How does Z3 Data work with waste haulers?

Z3 builds cooperative relationships with haulers by:

  • Using a Letter of Authorization to officially request data
  • Asking only for required fields
  • Providing a consistent framework
  • Reducing back-and-forth questions from clients
  • Ensuring haulers are represented accurately in reports

Haulers remain the service provider; Z3 provides the data clarity.

Does Z3 require direct integration with haulers to work?

No. While APIs are supported, Z3 can ingest data even if the hauler only provides PDFs or spreadsheets. Z3 adapts to the vendor—not the other way around.

Can Z3 integrate with my existing sustainability software solution?

Yes. Z3 Data is designed to connect smoothly with your existing ESG or sustainability systems. Our platform supports API integrations and structured CSV exports so you can feed clean, standardized waste into third-party pools.

Whether you’re using BI tools (like Tableau or PowerBI), ESG platforms, or internal accounting systems, Z3 can serve as your data normalization layer – ensuring consistent, audit-ready waste data for your sustainability reporting.
